Privacy Policy

Hivie is a wellbeing app, and some of what you share in it is personal. This policy explains what we collect, where it goes and what you can do about it — in plain language.

The short version

  • You can use Hivie without an account. No email, no password, no sign-up.
  • Most of your data lives on your phone. If you create an account, it's also backed up so you can restore it on a new device.
  • The chat uses AI. Your messages are sent to OpenAI so Hivie can reply, along with a little context — like your name and how you've been feeling lately — so she can reply like someone who knows you.
  • Hivie remembers you. To do that, she keeps a short summary of what you've told her on our servers. You can erase it at any time in Settings.
  • Some things never reach the AI: your mood notes, the messages in your bottles and the phrases you save.
  • We don't sell your data or show ads, and the app doesn't use analytics or tracking tools.
  • You can delete your account, and everything linked to it, from inside the app.

Who we are

Hivie is made by Allan Marquardt ("we", "us"), based in Chile. We are responsible for your personal information as described in this policy.

What we collect

When you use Hivie without an account

The first time you open the app, it creates an anonymous account for you automatically. It's a random identifier with no name or email attached. It lets the chat work and keeps each person's conversation separate.

Almost everything you do stays on your phone only:

  • your name, if you give one, and the avatar you choose
  • your mood check-ins, including the notes you write about your day
  • the phrases you save
  • your messages in a bottle
  • your progress: pollen, streak, hive level, collectible bees and breathing sessions
  • your conversation history with Hivie
  • your settings and preferences

The exceptions are the things the chat needs in order to work, described in When you talk to Hivie below.

If you create an account

An account is optional. You can create one with an email address and password, with Google, or with Apple.

  • Email and password: we store your email address and a securely hashed version of your password — never the password itself.
  • Google: Google shares your name, email address and profile picture with us.
  • Apple: Apple shares your email address — or a private relay address, if you choose to hide yours — and, the first time only, your name.

With an account, we also keep a backup on our servers of your name and avatar, your progress and collectible bees, your mood check-ins and notes, your saved phrases and your messages in a bottle, so you can restore them if you sign in on another device.

Your conversation history with Hivie is not backed up. It stays on the phone where it happened. What Hivie remembers about you (see below) is kept, because it's linked to your account rather than to your phone.

When you talk to Hivie

With or without an account, this is what happens when you send Hivie a message:

  • Your permission comes first. Before your first message, the app tells you what is shared with OpenAI and asks for your permission. Without it, nothing is sent and the rest of the app works as usual. You can withdraw it at any time in Profile → Settings → AI permission.
  • Your recent conversation is sent to our servers and on to OpenAI, which writes Hivie's reply.
  • A little context goes with it, so Hivie can reply like someone who knows you: the name you've given, how you've said you feel today and over the past week (the mood level only — never your notes), your streak, your hive's world and level, how long you've been using Hivie and whether you've been away for a while, how many unopened bottles you have and when they open (never what they say), your local time and time zone, your app language, how you've asked Hivie to address you, and the conversation style you've chosen.
  • Your answers to the welcome questions — for example, what brought you to Hivie or what helps when things are hard — are stored on our servers and shared with the AI so Hivie can get to know you. You choose them from fixed options; there's no free text. Answers about how your days have been and what you'd like to change stop being used after 45 days, because they describe a moment, not a person.
  • What Hivie remembers. Every few messages, the conversation is summarised into a short note, a few sentences long, about things worth remembering: your name, the people and pets in your life, what you do, your interests, and situations you're going through. The note is stored on our servers and included in future conversations. It is instructed never to record crises, self-harm, diagnoses, medication or other health details, or sensitive identifying information such as addresses or financial details. You can erase it at any time in Profile → Settings → Hivie's memory.
  • Message counts. We record how many messages you send each day, and how much text the AI processes, to apply daily limits and keep costs under control.

Technical information

Like any online service, our hosting provider records technical information when the app connects — such as your IP address, device type and the time of the request — in security and error logs. These are kept for a short time and used only to run and protect the service.

If you contact support through the app, the email it prepares includes your app version and your phone's operating system, to help us understand the problem.

When you visit our website

Our website, hivie.app, uses Cloudflare Web Analytics to count visits. It doesn't use cookies, doesn't identify you and doesn't follow you to other sites: it only records things like which page was visited, where the visit came from, your browser and type of device, your approximate country and how fast the page loaded. Like any website, the site's host also processes technical information, such as your IP address, to deliver the site and keep it secure. Nothing from the app is involved.

What we never do

  • We don't sell your personal information.
  • We don't show ads, and we don't share your information with advertisers or data brokers.
  • We don't use analytics, tracking or profiling tools in the app. Our website only counts visits, without cookies (see above).
  • We don't use your conversations, or anything else you write, to train AI models.
  • We don't send your mood notes, your bottle messages or your saved phrases to the AI.

How we use your information

Only to:

  • run the app and its features, including the chat;
  • let Hivie remember you and reply with context;
  • back up and restore your data when you have an account;
  • apply the free version's limits and manage Hivie Plus;
  • keep the service secure and prevent abuse;
  • answer you when you contact us;
  • meet our legal obligations.

Legal bases (for people in the EU, the UK and similar jurisdictions). We process your information to provide the service you've asked for (contract); to keep the service secure, prevent abuse and run the chat's safety checks (legitimate interests); and, for information about your mood and wellbeing, on the basis of your explicit consent. For the chat, the app asks for that consent before your first conversation with Hivie, and you can withdraw it at any time in Profile → Settings → AI permission, which also erases Hivie's memory. For your mood check-ins themselves, you give it by choosing to record them, and you can withdraw it by deleting them. We also process information when the law requires us to.

Who we share it with

Only with the service providers that run Hivie, and only what each one needs:

OpenAI processes this data on our behalf under its API terms. Under those terms it does not use the data to train its models, and it may keep it for a limited time — currently up to 30 days — to detect abuse, unless the law requires otherwise.

We may also disclose information when the law requires it, to protect someone's safety, or as part of a sale or transfer of the app, in which case this policy would continue to apply to your information.

Where your data is stored

Our servers are in the United States (Supabase, on AWS in Virginia), and OpenAI also processes data in the United States. If you live elsewhere — including in the EU or the UK — your information is transferred there. We rely on the Standard Contractual Clauses in our providers' data processing agreements to protect it.

How long we keep it

  • On your phone: until you delete it, sign out or delete the app. Signing out erases the data stored on that phone; it stays in your account.
  • With an account: until you delete your account. We then delete your data from our servers within 30 days, and any copies in backups within a further 30 days.
  • Hivie's memory and your welcome answers: until you erase them in Settings or delete your account.
  • Without an account: the anonymous account and what's linked to it on our servers — Hivie's memory, your welcome answers and your message counts — are deleted after 12 months without use. If you delete the app without an account, nothing on our servers can be connected to you again, and it's removed on that schedule.
  • Support emails: for as long as we need to help you.

Your choices and rights

In the app

  • Erase Hivie's memory: Profile → Settings → Hivie's memory. This deletes her summary and your welcome answers from our servers.
  • Withdraw your permission for the AI: Profile → Settings → AI permission. Hivie stops replying in the chat and her memory is erased. She'll ask again if you write to her.
  • Delete your account: Profile → Account → Delete account. This permanently deletes your account and everything linked to it from our servers.
  • Sign out: erases your data from that phone. It stays safe in your account.
  • Notifications: Hivie's reminders are created on your phone, not sent from our servers. You can turn them off in the app or in your phone's settings.

Your legal rights

Depending on where you live, you may have the right to access, correct or delete your personal information, to receive a copy of it, to object to or restrict how we use it, and to withdraw your consent at any time. To exercise any of these, write to [email protected]. We'll reply within one month.

If you're in the EU or the UK, you also have the right to complain to your local data protection authority.

California and other US states: we don't sell or share personal information as those laws define it, and we use sensitive information — such as information about your mood — only to provide the service. You won't be treated differently for exercising your rights.

Safety in the chat

Every message you send is checked automatically for signs of crisis, first by our own check and then by OpenAI's moderation service. If a sign of crisis is detected, Hivie doesn't send an AI reply: she answers with a fixed message, written by people, that points you to real help. We don't store that message on our servers or flag your account. The only thing we keep is a count of how many times the safety reply is shown each month — just a number, with nothing that could identify anyone — because California law asks us to report it once a year. Hivie is not a crisis service. If you're in danger, contact your local emergency number. Free, confidential helplines in your country are listed at findahelpline.com.

Children

Hivie is not intended for anyone under 16, and we don't knowingly collect information from children. If you believe a child has used Hivie, contact us and we'll delete their information.

Security

Your data is encrypted in transit and at rest. Each person can only access their own data, and the keys that give access to the whole database stay on our servers — never in the app. No system is perfectly secure, but we work hard to protect your information, and we'll tell you if a breach affects you, as the law requires.

Changes to this policy

If we change this policy, we'll update the date at the top. If the change is significant, we'll let you know in the app before it takes effect.
